Numbers & Timings
The number of guests (+/- 10%) and the programme/timetable must reach the hotel at least 7 days prior to the function. The final number must reach the hotel at least 48 hours prior to the function. This number will be charged in full, or greater if the number should increase. The Headland Hotel reserves the right to surcharge late revisions to numbers, room plans and printing, and unscheduled variations to timetables (in excess of 30 minutes) that result in increased costs.
Deposit & Payment
- Private Bookings:Written confirmation and a non-returnable deposit will be required
- Company Bookings:Credit references may be sought before agreement. A written confirmation on company headed paper together with a deposit will be required.
The account is due for payment at the end of the function by credit card or cash and may be forwarded by prior arrangement only.
Credit Terms
Accounts should be settled on departure unless credit terms have been agreed in writing, in advance. Credit accounts are due for settlement within 14 days of receiving the invoice, after which interest at 8% over the base rate, per month or part month, shall be charged.
Cancellation
Any cancellation, postponement, or significant change in arrangements or numbers, must be confirmed in writing. For cancellation terms relating to bedroom accommodation, please refer to the main hotel tariff . The cancellation terms for other reservations are as follows:
- Over 4 months notice of cancellation: deposit refunded less booking fee.
- Between 2 – 4 months notice of cancellation: deposit retained.
- Between 1 – 2 months notice of cancellation: the client is liable for 60% of the total tariff for the facilities booked. The hotel will endeavour to find to find a replacement booking and, if successful, will offset in whole, or part of the above charges.
- Within one month or less, the Client shall be liable for 90% of the total tariff of the anticipated facilities booked.
